Finance Teams Read More Than They Model
If you work in finance or accounting, a quiet majority of your day is reading. Quarterly filings from portfolio companies, 10-Ks for a comp set, trial balances from the month-end close, audit confirmations, variance analyses, credit memos, board packs. Most of it arrives as a PDF or a multi-tab Excel workbook. Some of it arrives as both.
AI tools like Claude and ChatGPT can help with a surprising amount of this reading work: summarizing an earnings report in thirty seconds, comparing revenue recognition language across five vendors, pulling variance drivers out of an Excel trial balance. They can do it, as long as the document lands in front of them in a format they can actually read.
Financial PDFs and Excel files are not that format out of the box. Convert them to Markdown first, and the numbers, line items, and footnotes all come through intact. This guide walks through how to do it, what it unlocks, and the security considerations that matter for anyone handling financial data.
Why Raw Financial Files Break AI Analysis
Financial documents are especially hard for AI to parse in their native format. A few common issues:
- Multi-column statement layouts (prior year, current year, variance, percent change) get flattened into a single run of numbers that no longer align with their labels.
- Footnotes and parentheticals (restatements, segment reconciliations, GAAP vs non-GAAP bridges) drift away from the line items they belong to.
- Multi-tab Excel workbooks (IS, BS, CF, MD&A, assumptions) get merged into one long stream when uploaded, so the AI cannot tell where the income statement ends and the assumptions start.
- Merged cells and subtotal rows in trial balances confuse parsers, which treat them as blank rows or duplicate labels.
- Scanned financials from older matters, private company memos, or hard-copy schedules arrive as image-based PDFs with no selectable text.
- Page numbers, report headers, and legal disclaimers repeat on every page and consume context without adding information.
Converted to Markdown first, the same files become something the AI can read line by line: each tab becomes its own section, each statement keeps its table structure, every footnote stays attached to the right line item. No numbers lost, nothing rearranged.
Security for Financial Data
What every CPA and controller wants to know before uploading.
Before you route anything material, confidential, or client-owned through any third-party tool, you should know exactly how the service handles it. Our baseline:
- Files are processed on secure servers with encryption in transit and at rest.
- Files are auto-deleted within 12 hours. No archive, no retention beyond the conversion window.
- Your documents are never used to train AI models, ours or anyone else's.
- Enterprise plans support DPA, BAA where relevant, SOC reviews, and single-tenant processing.
For audit working papers, client tax returns, MNPI, or anything under confidentiality agreements, always run the service through your firm's IT and compliance review before scaling up use. The same rule applies to every AI tool you would paste the converted Markdown into afterwards. Many firms ringfence this workflow to non-production, redacted, or public-company data while they complete their review.
Seven Practical Uses for Finance Professionals
Once your financial documents are in Markdown, a number of tasks that used to take hours can now take minutes. These are the uses we see most often from CPAs, FP&A teams, and controllers.
Quarterly earnings report summaries
Convert a 10-Q or annual report PDF, paste the Markdown into Claude or ChatGPT, and ask for a one-page summary covering revenue, gross margin, operating income, cash generation, guidance changes, and management commentary highlights. Great first-pass read for a comp set.
Comp and peer benchmarking
Convert five public filings, then ask the AI to build a comparison table: revenue growth, margin profile, leverage, capex intensity, working capital trends. Pulls together in minutes what used to be a half-day spreadsheet exercise.
Trial balance and variance analysis
Convert the month-end trial balance to Markdown and ask the AI to surface the largest month-over-month and year-over-year swings, with candidate explanations. Use it as a starting checklist, then verify each one in the source.
Revenue recognition and accounting policy diffs
Convert MD&A or footnotes across a vendor or acquirer target, then ask the AI to highlight differences in revenue recognition language, lease accounting policy, or segment disclosure. Useful for audit planning and quality-of-earnings work.
Audit workpaper preparation
Convert supporting PDFs (contracts, invoices, confirmations) to Markdown, paste them alongside the trial balance excerpt, and let the AI draft the workpaper narrative. You still review and sign, but the blank-page problem disappears.
Credit memo and loan review
For lending officers and private credit analysts: convert the financial statements and covenant compliance certificate, then ask the AI for covenant status, liquidity runway, and red-flag trend indicators.
Board deck prep
Feed your model pack, the draft MD&A, and the prior quarter Markdown into the AI and ask for the three biggest narrative changes this quarter, phrased for a non-finance audience. Saves an hour every board cycle.
Before and After: A Revenue Statement
A simple example. An income statement excerpt from a quarterly report, shown as what the AI sees in each case.
Consolidated Statements of Operations
(in thousands, except per share data)
Q3 2025 Q3 2024 % Change
Revenue $ 284,500 $ 221,800 28%
Cost of
revenue 102,400 88,900 15%
Gross profit 182,100 132,900 37%
Operating
expenses 94,600 76,200 24%
Operating
income 87,500 56,700 54%

segment detail.
Page 6 of 58AI answer: “I see some income statement figures, but the columns are a little unclear. Revenue looks like it grew, but I'm not fully sure which numbers go with which period. Can you clarify the layout?”
## Consolidated Statements of Operations *(in thousands, except per share data)* | Line Item | Q3 2025 | Q3 2024 | % Change | |--------------------|----------|----------|----------| | Revenue | $284,500 | $221,800 | 28% | | Cost of revenue | 102,400 | 88,900 | 15% | | **Gross profit** | 182,100 | 132,900 | 37% | | Operating expenses | 94,600 | 76,200 | 24% | | **Operating income** | 87,500 | 56,700 | 54% | *See Note 4 for segment detail.*
AI answer: “Q3 2025 revenue grew 28% YoY to $284.5M. Gross margin expanded from 60.0% to 64.0% (+400 bps). Operating income grew 54% on flat-to-down opex as a % of revenue. The operating leverage is the story this quarter. Want me to pull the segment detail from Note 4?”
Same numbers, same periods. Clean structure is the difference between a vague answer and a useful one.
Excel workbook with multiple tabs?
Every sheet becomes its own Markdown section. Formulas are resolved to values so the AI reads what the model actually produces, not the underlying expressions.
The Five-Step Workflow
If you can use a browser, you can do this. No code, no plugin, no IT ticket.
Drag the file in or click Upload. Most financial filings convert in a few seconds. Large Excel workbooks with many tabs take slightly longer.
Private company financials, older audit trail documents, and hard-copy schedules often arrive as image-based PDFs. AI Vision reads the numbers inside the images and includes them in the Markdown output.
Toggle to Raw view and copy. That plain text is what your AI assistant needs. Pretty view is for your eyes only.
Claude for long filings, ChatGPT or Copilot for speed on shorter docs, Gemini for heavy numerical and tabular work. Whichever you use, the Markdown is the same.
Prompts to Keep in Your Clipboard
Once the document is in the chat, the prompt decides the output quality. Here are a few that hold up across Claude, ChatGPT, and Copilot.
"Summarize this quarterly filing. Cover revenue, gross margin, operating income, free cash flow, guidance changes, and any material risk language. Keep the numbers exact."
"Build a table of the five largest income statement and balance sheet variances versus the prior period, with a candidate driver for each. Flag anything that looks like a one-time item."
"Using the filings I pasted, build a comparison table with revenue growth, gross margin, operating margin, leverage, and FCF conversion for each company."
"Compare the revenue recognition and segment reporting language across these filings. List every material difference with direct quotes."
"Review this trial balance. List accounts with unusual balance signs, month-over-month swings above 25%, or totals that do not reconcile. Flag candidates for workpaper review."
"Translate this MD&A section into a two-paragraph explainer suitable for a board member without a finance background."
Things to Watch For
- Always spot-check key numbers against the source. Treat AI output as a capable first draft, never as the final workpaper.
- For Excel, remember that Markdown preserves the values the workbook was showing at export time. If a model's cell references change after, re-convert to refresh.
- Footnotes, restatements, and parentheticals carry a lot of meaning in finance. Read the Markdown output to confirm these came through, especially for filings with extensive Notes sections.
- If you are in audit, tax, or any confidentiality-sensitive role, complete your firm's vendor review before routing live client data through any third-party tool, including ours.
Common Questions
Is this safe for confidential audit or client financial data?Answer
Files are processed on secure servers with encryption in transit and at rest, auto-deleted within 12 hours, and never used to train AI models. For audit, tax, or client-confidential materials, clear the service through your firm's IT and compliance review before scaling. Enterprise plans support DPA, BAA where relevant, and single-tenant processing.
Do formulas convert from Excel, or just values?Answer
Excel conversion exports the resolved values, not the underlying formulas. That is what you want for AI analysis, since the assistant needs to see the actual numbers. If you need the formula logic preserved, you can paste a separate text version of the sheet with formulas.
Does it handle multi-tab Excel workbooks?Answer
Yes. Each sheet becomes its own Markdown section with a heading, so the AI can tell where the income statement ends and the balance sheet starts. Named ranges and tab names are preserved in the output.
Does it work for scanned financial documents?Answer
Yes, with AI Vision. It reads numbers and text from image-based PDFs, including older filings, private-company memos, and hard-copy schedules that were scanned rather than produced digitally.
Can I batch-convert an entire filing season?Answer
Yes, on paid plans. The API supports batch conversion, which is the right fit for running a comp set or a full portfolio review. Many teams start manually, verify the output, then automate once they are confident in the quality.
Which AI tool should I paste into?Answer
Claude handles long filings especially well because of its large context window. ChatGPT and Copilot are strong for faster, shorter reads. Gemini is particularly strong on numerical and tabular work. All of them read Markdown well, so the conversion step is the same regardless.
Does this replace my FP&A or BI tool?Answer
No. This is a preparation step that gets documents into a format AI tools and knowledge bases can read. FP&A tools, BI platforms, and dedicated financial workflows keep their role. Markdown conversion is complementary.
The Short Version
Most of finance work is reading. AI tools can absorb a surprising amount of that reading if the files are in a format they can parse accurately. For financial documents, the reliable format is clean Markdown: every line item in the right column, every footnote attached to the right line, every tab cleanly separated.
Pick the next 10-Q, trial balance, or board pack you have on your desk. Convert it. Paste it into the AI tool your firm has approved. Ask one pointed question. If the answer comes back with the right numbers in the right columns, you have a workflow that will save hours every reporting cycle.
