This privacy policy explains how we handle your data when you use our services, especially when processing documents for AI applications. We understand that documents processed for AI applications may contain sensitive information, so we've designed our privacy practices accordingly.

We offer two services:

  • markdownconverters.com: Our marketing site with anonymous file conversion (24-hour retention)
  • app.markdownconverters.com: Our web application with user accounts. Original uploaded files are retained for 12 hours by default to support conversion retries; converted output files have configurable retention (default: 30 days)

Data Collection

We collect minimal data necessary to provide the AI-optimized conversion services:

  • Files you upload for conversion to AI-friendly Markdown
  • Basic usage analytics (page views, conversion counts)
  • Technical data (browser type, device information)
  • For app.markdownconverters.com only: Account information (email address, username), user preferences and settings

AI Document Handling

Files uploaded for conversion to AI-friendly formats are:

  • Processed securely using enterprise-grade encryption, essential for protecting sensitive AI training data
  • markdownconverters.com: Automatically deleted after 24 hours or upon download (anonymous conversion)
  • app.markdownconverters.com:
    • Original uploaded files: Retained for 12 hours by default to enable conversion retries and quality re-processing with AI. Stored securely in Microsoft Azure US regions and automatically deleted after the retention period.
    • Converted output files: Retained based on your configured retention period (default: 30 days, configurable from 1 to 90 days).
  • Never shared with third-party AI systems or used to train our own AI models
  • Used solely for the purpose of conversion to Markdown for your AI applications
  • Never analyzed by AI systems during processing without your explicit consent

Data Storage for AI Processing

All file processing follows strict retention policies, which is crucial for sensitive AI data:

  • markdownconverters.com (Marketing Site): Files are automatically deleted after download or 24 hours, whichever comes first. No account required.
  • app.markdownconverters.com (Web Application):
    • Original uploaded files: Retained for 12 hours by default after upload. This short-term retention allows you to retry conversions without re-uploading — for example, if a conversion fails or if you want to re-convert using AI Vision for improved quality. Original files are stored in Microsoft Azure US regions and are automatically deleted after the retention period.
    • Converted output files: Retained based on your configured retention period (default: 30 days, configurable from 1 to 90 days). Converted files are automatically deleted after your configured period.
  • No permanent copies are kept beyond the retention period, reducing risk of data leakage to unauthorized AI systems
  • Data processing complies with best practices for AI training data security

Analytics

We use basic analytics to improve our service:

  • Anonymous usage statistics
  • No personal information is collected
  • No cookies are used for tracking
  • No data on specific AI projects or use cases is collected

Third-Party Services

Our services use the following third-party services:

  • Microsoft Azure for secure file processing and hosting (US regions)
  • Microsoft Azure AI Foundry Service for AI Vision document processing (using OpenAI models including GPT-4o and other leading AI vision models)
  • All AI processing is configured with training disabled - your data is never used to train or improve AI models

Data Location & Hosting

All data and services are hosted on Microsoft Azure infrastructure:

  • Primary Data Storage: All file storage and processing occurs in Microsoft Azure US regions
  • Service Hosting: Our entire service infrastructure (both markdownconverters.com and app.markdownconverters.com) is hosted in Microsoft Azure US data centers
  • Data Residency: Your files and account data remain in the United States throughout their lifecycle
  • No Cross-Border Transfers: Data is not transferred outside of US Azure regions for processing or storage

Web Application (app.markdownconverters.com)

User Accounts

Our web application at app.markdownconverters.com offers registered user accounts with additional features:

  • Account information (email address, username)
  • User preferences and settings
  • Conversion history and file management
  • Configurable file retention settings

User-Configurable Settings

The web application gives you control over your data with configurable parameters:

  • Converted File Retention Period: Configure how long converted output files are stored (default: 30 days, range: 1-90 days)
  • Original File Retention: Original uploaded files are retained for 12 hours by default to support conversion retries. This retention period is not currently user-configurable.
  • Auto-Delete: Option to automatically delete files after download
  • Analytics: Opt-in or opt-out of usage analytics

AI Vision Document Processing

When you use our AI Vision feature (available on Starter, Pro, and Scale plans), your documents are processed using OpenAI models (including GPT-4o and other leading AI vision models) via Microsoft Azure AI Foundry Service. Here's how we handle your data during AI Vision processing:

Data Processing

  • Documents are sent securely to Microsoft Azure AI Foundry Service for processing using OpenAI models
  • All processing occurs in Microsoft Azure US data centers
  • All data is encrypted using TLS 1.3+ during transit and at rest
  • Documents are processed in isolated, secure environments with enterprise-grade security controls
  • We use Azure AI Foundry Service to access OpenAI models with enhanced enterprise privacy and security features

Data Retention & AI Training

  • Microsoft Azure AI Foundry Service does not store your documents after processing is complete
  • Your data is NEVER used to train or improve AI models - we have explicitly disabled training on user data
  • Azure AI Foundry Service processes your data solely for the purpose of providing the requested conversion service
  • No human review of your documents occurs during AI Vision processing
  • OpenAI's models are accessed through Azure with Microsoft's enterprise data protection commitments
  • Your documents are not sent to OpenAI directly - all processing goes through Azure's secure infrastructure

Security & Compliance

AI Vision processing through Azure AI Foundry Service is designed with enterprise-grade security and compliance:

  • All processing occurs in Microsoft Azure US data centers
  • Enterprise-ready security controls and access management
  • Encrypted data transmission (TLS 1.3+) and encryption at rest
  • No data retention after processing - immediate deletion upon completion
  • Abuse monitoring to prevent misuse without accessing your content
  • SOC 2 Type 2, ISO 27001, HIPAA, and other compliance certifications
  • Zero data retention policy - Microsoft does not log or store your prompts or completions

  • Account deletion: Request account deletion by contacting us, which will remove all associated data within 30 days

Children's Privacy

Our services are not directed to children under the age of 13 (or the applicable age of digital consent in your jurisdiction). We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child without parental consent, we will take steps to delete that information promptly.

International Data Transfers

All our services and data are hosted exclusively in Microsoft Azure US regions. For international users:
